THE PROBLEM
Before Clockwork, the scheduling team at Easter Seals Northern California ran ABA therapy appointments across a master Excel sheet, Outlook, and a third-party calendar called Skedulo — none of which talked to each other. But the tool fragmentation was the surface problem. The real problem was underneath it: the match between a client's needs and a practitioner's qualifications, availability, and preferences was happening invisibly, in one assistant manager's head, every time. She held a mental model of forty-plus practitioners — who was certified for what, who worked well with which client, who had hours left that week. When she went on vacation, the model went with her.

In its first three months on Clockwork, the team booked roughly 40% more appointments than they had on the old workflow — a full team cutover, no parallel run.
