FastFunder: Agnostic Intake System

The Problem
Before FastFunder, our client operated as a closed system. The only way a new patient could enter services was through a funder referral, meaning another provider or insurance partner had to send them in. This created a hard ceiling on growth. There was no front door for the general public. Families who suspected their child might have autism, adults seeking an ADHD diagnosis, or anyone searching for behavioral health support organically had no way to engage with the organization directly. The client knew they were leaving significant patient volume and impact, on the table.
Why "Agnostic"
FastFunder was built funder-agnostic by design. In version one, every incoming client was treated as self-pay because the organization had limited funder partnerships at launch. But the system was architected to capture insurance data on every intro call, building a real dataset the business could use to negotiate new funder relationships. As those partnerships came online, FastFunder could absorb them without requiring a rebuild — it was always intended as the long-term front door, not a temporary fix.
The Solution
FastFunder is a two-sided, funder-agnostic intake system that creates a direct pathway from public awareness to active care.
On the client-facing side, a public microsite hosts a smart screener. Users indicate whether they (or their child) have a suspected or confirmed diagnosis, and the questionnaire dynamically expands based on their responses to capture the right context for a clinical conversation. After completing the screener, users self-schedule an introductory phone call and gain access to a personal dashboard where they can manage their appointment, upload documents, and reschedule as needed.
On the internal side, Client Services Representatives (CSRs) work inside a robust desktop application designed to manage the entire intake funnel. From a daily action-oriented dashboard, CSRs handle introductory calls, complete intake forms in real time, and place clients into the appropriate service track — either a Behavioral Health Treatment Initial Assessment (BHTIA) or a Diagnostic Evaluation. The system also includes filterable client lists, rich client profiles with status trackers and appointment histories, and a full calendar management system for CSRs and admins to handle availability, time-off, and last-minute reassignments.
Once a client completes their first appointment, FastFunder hands them off to the organization's clinical care platform, Sparkle, completing its role as the bridge between awareness and active treatment.
The Impact
In the first three months post-launch, the organization saw a roughly 20% increase in new patient volume — and that was with self-pay as the only payment option. Their marketing team amplified the screener into the world, and for the first time, families could find this provider organically and enter services on their own terms. As new funders are brought into the system, that growth curve is expected to accelerate significantly.
FastFunder didn't just open a new acquisition channel. It fundamentally changed the economics of the organization, gave families a more dignified and direct path to care, and created a scalable foundation for years of growth.
